Volunteer Job Description

Clerk of Course (NWAL Certified)-Line the swimmers up on benches prior to their races in a designated area of the pool so that they are ready for their events. Make sure swimmers are at the starting blocks at the appropriate time for their races.

Stroke &Turn Judge (NWAL Certified) - Works with other teams stroke/turn judges at each meet to insure that stroke protocols are being followed by swimmers. Requires training. Please contact My Lan Duong ([email protected]) if you would like to attend training.

Starter (NWAL Certified) - Starts the races and is responsible for keeping the meet running efficiently. Requires training.

Head Timer Ensures all timers are ready. Operates two stop watches so that in the event a lane timer had a malfunction/didn't start his/her watch at the signal, Head Timer will provide a replacement watch.

Timers Use a stop watch in assigned lanes to determine the finish times in the races. Timers work in teams of 3 with at least 1 timer from each team in each lane.

Scribe Records all heat times from timers. Must have neat handwriting. Distributes heat ribbons with swimmers written on the back to all 8 & under swimmers.

Runners (1 per team per meet - first half or second half of meet) Takes race results information from scribes to scorers table. Also posts results for viewing and to the announcers table.  

Verifier / Data Records Entry- Verifier circles median time for data entry personnel to input in computers.  Data Records entry (Requires some training), enters swimmers times into software program and prints the reports and award labels.

Bathroom Attendants -- Assist in maintaining restrooms functional and operational for guests. 

Concession Assistants Assists the concession coordinator by maintaining the concession area during the meets. They may also assist with setup/take down.

Deck Set-Up/Tear Down: Physically sets up pool deck for home meets, including signage, checking restrooms, etc., on Friday evening.  Saturday after meet, takes down pool equipment and places it back in storage. Ensures tents to taken to away meets for team area.

Volunteer Coordinator: Sources volunteers for all open spots. Checks in all volunteers at swim meets. Follows up to ensure volunteer commitments have been met by each family.

Meet Scoring: Individual events score as follows:

  • 1st place earns 7 points for the team.
  • 2nd place earns 5 points for the team.
  • 3rd place earns 4 points for the team.
  • 4th place earns 3 point for the team.
  • 5th place earns 2 point for the team.
  • 6th place earns 1 point for the team.

Relays: The winning relay earns 7 points; the second place relay earns 3 points if they are from a different team than the winning relay.

Heat Sheets: The heat sheet is a list of swimmers and the events they will swim in that meet. Find your child’s name; the list follows the order of events, with the youngest children swimming first in each event and the girls swimming first in all events. Highlight the event number, the stroke, the heat number, and the lane number for your child(ren) to help make sure they are at their events on time.

Disqualification: Sometimes you will have a swimmer who is DQ’d which means “disqualified”. In this case the Stroke & Turn judges saw and wrote up an infringement, which is usually an incorrect stroke technique, early start, incorrect turn or incorrect finish. The team rep and coach go through each DQ and work to correct the problem. If a relay is DQ’d, the relay team is out of the event.
